Overview
You can group activities displayed in Activity Center so that all of them are shown as belonging to their respective project. As a result, a project tree emerges with activities being smaller "branches" of projects that are "main branches". One of the advantages of activity grouping is that addable field values, i.e. actual hours or EAC expenses, "roll up" to the project level.
By the same token, it is possible to group projects under respective portfolios. The data rollup principle applies here too.
Group by project
When ungrouped, activities from all projects are displayed as a single list. By using the Projects filter, you can filter out activities belonging to a specific project. See Activity center - Filters.
To group activities by projects:
- Click on the toolbar.
- Select Project.
Group by project custom field
In addition to grouping by project name, it is possible to group by a project custom field.
To group by a project custom field:
- Click on the toolbar.
- Click the Project custom fields > dropdown menu.
- Select a field to group by.
Note
You can group by a single field only.
Note
Only fields of the following types can be grouped by:
- Text
- Dropdown
- Date
- Number
Group by portfolio
Grouping by portfolio is helpful when portfolios are used in an extensive way as it offers a clearer view of projects and help access a particular project quicker.
To group by portfolio:
- Click on the toolbar.
- Select Portfolio.
Addable column rollup
An essential feature of grouping is that the addable column values, i.e. ones the total of which can be calculated, will roll up to the next level giving you total and subtotals for both projects and portfolios.
The list of columns the values of which currently roll up to the portfolio level is as follows:
- Actual hours (timelogs)
- Billable hours
- Non-billable hours
- Estimated hours
- Hours left
- All columns from the sections:
- Budget and costs
- Billable
- Billed
- Profit (except for Target profit, % and Profit variance, %)
Important Note
it’s important to mention that the information is rolled up globally. This means portfolio data includes all projects within that portfolio, regardless of whether the projects are spread across multiple spaces or belong to just one. The system sums up data from all projects across all spaces.
