Overview
You can add time either for yourself or somebody else, providing you have the Add time entries for someone else permission in your project access level.
Note
Time entry is unavailable for projects in the Draft or Template status.
Adding time to assigned activity
To add a time entry to an activity you are assigned to, follow these steps:
- Log in as a user with permission(s) to add time entries.
- In Activity center, hover your mouse over the activity.
- Click .
- Select Add time entry.
- Select the date, specify the number of hours being logged, specify activity progress and/or personal hours left, and whether the entry is billable, and click "Add time".
Adding time for someone else
Note
To add time entries for someone else, such as in the case when another activity assignee has no way to update their time log, for a resource user, etc., you need to have the "Add time entries for someone else" permission enabled in your access level.
To log hours for someone else, follow these steps:
- Open the Time logs - Weekly timesheets page.
- Select a user in the right top corner.
- Click + Add time and select an activity.
- Select the date, specify the number of hours being logged, specify whether the entry is billable, and click outside the box to save changes.
Note
As an entry is added for yourself, it shows on the "My time log history" bar graph lower on the screen. Otherwise, you can view added time logs on a bar chart on the History tab.
- Completion rate
As you add time entries for an activity that is not a parent (see Parent activity completion rate below), you can change its completion rate.
Note
Changing the rate to 100% allows you to close an activity.
- Parent activity completion rate
The completion rate of a parent activity is calculable and cannot be changed manually. Please refer to Parent activity progress calculation for details.
- Hours left tracking
In addition to activity progress, Birdview uses estimated hours specified for an activity to calculate hours left. This is a very handy feature as it allows you to track progress as you and your team members log hours spent on the activity. The total hours left for an activity are the total of personal hours left of all its assignees.
- Personal hours left
When you add a time log, it is automatically deducted from your personal hours left as seen in the respective field. The same happens when you add time for somebody else - the person's personal hours will be adjusted accordingly. The personal hours left value can also be adjusted manually.
- Custom fields
If you have time entry custom fields, use the Custom fields expandable section to fill in those.
Marking a job as complete
You can report the completion of your share of work on a given activity directly in Time logs (Weekly timesheets tab). To do so, take these steps:
- Select the activity with which you want to report your part of the work done.
- Click the "I'm done" button in the activity details that open on the right.
- The personal hours left will be reset to zero automatically.
Warning
Clicking I'm done automatically selects the same checkbox on the activity details screen, the Assignees section.
