Overview
Birdview is licensed per user. However, only active and able-to-log-in ones take up license seats. That is, if you inactivate a user or take away its login ability, you will free up a license seat. This way you can co-opt additional users.
To summarize, there are several types of users in Birdview:
User type | Description | Comments |
---|---|---|
Regular | Active, can log in | Use a licensed seat. |
Resource | Active, cannot log in | Do not use license seats, but can be used as regular users without the ability to log in. |
Guest | Active, can log in | Have limited access rights, do not use license seats, and an unlimited number can be added. |
Restricted role | Active, can log in | Have a fixed set of permissions, a special (discounted) license is required. |
Users screen
Adding, editing or deleting users are carried out on the Users screen. To access the screen:
- Click through Company settings > Users.
Creating users
As users are usually created to be part of a project team (unless you are creating a global user to help you manage the system as a whole), defining a place and role within a project would normally go before creating a project-related user. Suppose you now have a solid idea of what purposes you will create a user for within a project.
If you would like to create a new user, please follow the steps below.
- Log in as an Administrator (or a user who has the "Manage system settings" permission).
- Navigate to Company settings > Users.
- Click the + Add user button. Fill in all the required fields.
- Click Invite a user. This will send an invitation email with a link to the login page to the user, and create a record of the user on the Users screen.
- Set the user's personal schedule. By default, Monday to Friday workdays are used with 8 hours per day standard daily workload.
Creating a user beyond the limit of your license
When you try to create a user beyond the limit permitted by your license, a temporary license with a 5-day grace period will be automatically generated for the user. All you need to do is purchase an additional license for the extra user within the grace period.
Warning
If you do not complete the purchase within the grace period, the "Can login" option will be revoked for the users not covered by your license.
Exporting users
It is possible to export a list of the users registered in your Birdview account. To view and export the users, the "Manage system settings" permission must be enabled in your global access level.
Warning
Birdview will export only those users and any additional data about them (shown in the columns) that are on display on the Users screen at the time of exporting.
You can filter out users before exporting. For example, you can export only active, or only inactive users, or both. All the available filters are:
- Active and inactive,
- Only active,
- Only cannot login,
- Only inactive.
